Make a start

Use the event and vendor fields, group items by booth area and mark Packed only when the items are physically together.

Try one first

Check the actual organizer information separately, then walk through loading and unloading one trial group of items.

Work backward from the setup

List the pieces needed to display and protect the work, not just the products themselves. Confirm event requirements independently. Afterward, record useful changes while the setup is still fresh rather than assuming the same list will suit every venue.
